In short: what a delegate is really looking for
Cluj-Napoca hosts tech conferences, medical events and academic gatherings that bring thousands of delegates each year — Techsylvania alone gathers 2,000+ participants from 30+ countries at Cluj Innovation Park. If you are one of them, your question is not “is there accommodation in Cluj?” — the city has plenty. The question is: what kind of stay lets you get your work done during those 2–3 conference days, with no surprises?
This guide is written from the delegate’s point of view, not the hotel’s: what to check before booking, how an apartment compares to a hotel room, and what a well-planned conference stay looks like.
The delegate’s 6 criteria, in order of importance
After years of hosting conference guests in Cluj, priorities come down to:
- Wi-Fi that holds a video call in the evening. Days run late and the inbox does not sleep. A stable connection is criterion #1, before anything else.
- Flexible check-in. Flights get delayed, sessions run over, networking turns into dinner. Delegates do not have a fixed arrival time.
- Company invoice. For company-paid trips, a proper invoice saves hours of back-and-forth with accounting.
- Real distance to the venue. Not “close to the centre”, but how many minutes it actually takes to reach Cluj Innovation Park, BT Arena or the university campuses.
- Quiet for sleep. Rooms facing the boulevard and the after-party crowd do not mix well with the 7th hour of sleep.
- A real place to work. A desk and a chair — not the edge of the bed.
- At a hotel, these come bundled with a per-room price. In a serviced apartment, they are typically included in the price of the unit. The difference shows when you split the nightly budget across colleagues attending the same conference.
Apartment or hotel for a 2–3 day conference?

- Solo, one night — a hotel room near the venue is an honest option.
- A team of 2–4 — a 2–3 bedroom apartment usually costs less per person than separate rooms, and adds a kitchen, a common space and a single check-in.
- Family or stays of 3 days or more — the apartment wins clearly: living space, kitchen, washing machine, a way of living rather than a room you sleep in.
- Particular to delegates: serviced apartments have self check-in, meaning no front-desk queue when you land at 23:40. And a direct line to the local team — for invoices, for extending a stay, for anything unplanned.
Getting to the venue (three Cluj routes)
Cluj Innovation Park (Techsylvania), BT Arena (large conferences and sports) and the university campuses are the main conference venues. From Nest Inn apartments:
- Cluj Innovation Park: about 3 km from the centre — 8 minutes by car or 15 by a short ride-share.
- BT Arena / Cluj Arena: about 3.5 km — 35 minutes on foot, 10 by ride-share.
- Universities (UBB, UTCN, UMF): central or immediately adjacent — walkable from most of our locations.

The delegate’s day, hour by hour
A sample day, to see how an apartment fits in:
- 7:30 — breakfast in the kitchen, on your schedule, not the buffet’s.
- 8:30 — leave for the venue, arrive before the official opening.
- 9:00–18:00 — sessions, networking, lunch with a potential partner.
- 19:00 — back, change, 20 minutes of email at a real desk, not on the bed.
- 20:30 — dinner in the centre or the evening side event.
- 23:00 — quiet sleep, no music from the terrace across the street.
- A good conference stay is not about luxury. It is about how few frictions sit between you and your work.
For companies: groups, invoices, partnerships
If you coordinate travel for a team or several guests, three things simplify everything:

Techsylvania is not the only moment when Cluj fills up. TIFF (June), CEV EuroVolley (September) and the summer festivals create demand peaks.
